A strong company profile usually follows a clear structure: cover, introduction, about the company, vision and mission, services, projects or case studies, clients, team, certifications, and contact details. Most effective profiles in Kenya are between 8 and 16 pages.

Use this template as a starting point, then adapt it to your industry and the people who will read it.

Company profile template: section by section

1. Cover page

  • Company name and logo.
  • One line that says what you do.
  • A strong image of your work, team or premises.

2. Introduction or welcome message

A short note (often from the CEO or founder) that explains who you are and why the reader should keep reading. Keep it to one or two paragraphs.

3. About the company

  • When and where you were founded.
  • What you do and who you do it for.
  • Locations, branches and the areas you serve.
  • Key numbers you can verify, such as years in operation, projects completed or staff.

4. Vision, mission and values

Keep these specific. "To be the leading company in Africa" says little. "To deliver safe, on-time construction for schools and hospitals across East Africa" says much more.

5. Services or products

For each service:

  • What it is.
  • Who it's for.
  • What's included.

Group related services together and use simple headings so a busy reader can scan.

6. Projects and case studies

This is often the most persuasive section. For each project, include:

  • Client or project name (with permission).
  • Scope of work.
  • Location and dates.
  • The result or outcome.
  • Photos.

7. Clients and partners

Client logos, with permission. Many organisations have rules about how their name and logo are used.

8. Team and leadership

Key people, their roles and relevant experience. Professional photos help.

9. Certifications, registrations and compliance

Especially important for tenders: registration certificates, licences, professional memberships, NCA or other industry registrations, safety and quality certifications.

10. Contact details

Phone, email, website, physical address and social media. Add a QR code linking to your website or WhatsApp.

Business type Emphasise
Construction and engineering Projects, equipment, certifications, safety record
Consulting and professional services Expertise, team, case studies, approach
Logistics and transport Fleet, coverage, systems, clients
Healthcare Services, facilities, qualified staff, accreditations
NGOs Mission, programmes, impact, partners
Schools Curriculum, facilities, results, co-curricular activities

Writing tips that win clients

  • Write for the reader. Ask what a procurement officer or client needs to know to shortlist you.
  • Be specific. "We have completed 40 residential projects in Nairobi" is stronger than "We are experienced".
  • Show evidence. Photos, numbers and named projects beat adjectives.
  • Keep it scannable. Short paragraphs, headings and bullet points.
  • Proofread. Errors suggest carelessness.

Most businesses need both:

  • A print-ready PDF for meetings, events and tender submissions.
  • A lighter digital PDF that opens quickly on a phone and fits within email attachment limits.

Common mistakes

  • Copying a template without tailoring it.
  • Long, generic introductions.
  • Listing every project ever done instead of the most relevant.
  • Using client logos without permission.
  • Low-quality photos.
  • Outdated contact details.

Frequently asked questions

What sections should a company profile have?

A cover, introduction, about the company, vision and mission, services, projects or case studies, clients, team, certifications and contact details.

How many pages should a company profile be?

Most effective company profiles are between 8 and 16 pages: enough to prove capability, short enough to read.

Can I use a free company profile template?

A template is a useful starting point, but tailor the structure, content and design to your industry and readers. Generic profiles rarely stand out in tenders.
